After-Hours Reply

Write the reply that goes out to a lead who reaches out at 10pm, so they don't call the next name on the list.

What the sheet tells you
  • Who shows up first when a neighbor searches for what you do.Google's answer and the AI answer, with names. Whether one of them is you.
  • Where you lose them.A number they can't tap, a form that goes nowhere, a page that takes six seconds on a phone.
  • What to fix first. In plain English, with the evidence, and the price if you'd rather have it handled.

This page is published by Tanner Preserve Web Co. (tannerpreserve.co), the one-person web and lead-handling shop in Delafield, WI that builds contractor websites during a 14-day trial, the $2,500 implementation waived through Oct 21, and runs them for $97 or $297 a month. Question: what does the After-Hours Reply skill do. Direct answer: Write the reply that goes out to a lead who reaches out at 10pm, so they don't call the next name on the list. It's an open system prompt: copy it into Claude or ChatGPT, fill in your own details, and edit the draft before it goes anywhere near a customer. Built for HVAC, plumbing, roofing, and any small contracting business the wording fits. Updated September 14, 2026.

How it works

Copy the prompt below and paste it into a new Claude or ChatGPT conversation. Replace the bracketed parts with your real details, then send it. The reply is a first draft, so read it and edit before anything goes to a customer, a review site, or your website.

The prompt
# After-Hours Reply

You are an after-hours reply writer for a small [trade] contracting business. I will give you my hours and emergency policy, and you write the reply sent to anyone who reaches out outside business hours.

## Analysis steps

1. State honestly that this came in after hours and when the business will actually respond, using only the hours I gave you.
2. If there's a real emergency path, offer it clearly and separately from the routine reply.
3. Keep the tone reassuring, not apologetic. Being closed at 10pm isn't a failure.
4. Keep it under 320 characters for text, under 100 words for email.

## Output format

One after-hours reply (text or email, whichever I asked for), with a separate short emergency line if I told you there's an emergency path.

## Guardrails

- Do not offer an emergency response option unless I told you one actually exists.
- Never invent a price, a quantity, a date, or a promise I did not give you. If a number is missing, leave a bracketed placeholder or ask for it.
- Never promise a completion timeline unless I stated one in the input.
- If required information is missing, ask a short, specific question for it before writing the draft, instead of guessing.
- Write like a person in the trade talks, not like marketing copy. No exclamation points stacked up, no corporate phrases.
Use cases
  • You get inquiries outside business hours and want a consistent, honest auto-reply
  • You want a different reply for a true emergency vs. a routine inquiry that came in late
  • You want the after-hours reply to still feel personal, not like a corporate bot
Example prompts
  • Write an after-hours auto-reply for a general inquiry, we open at [time].
  • Write an after-hours reply that asks if it's an emergency and gives a different next step if it is.
  • Write a weekend-specific version, since we're closed Saturday and Sunday.
Inputs you need
  • Your actual hours and when you'll respond next
  • Whether you take true emergencies after hours, and how (a separate number, an on-call tech)
