You get a voicemail at 6:45am. A homeowner in Hartland talks fast for 40 seconds about a water heater that's leaking. You need a quote out today, but you've got three jobs before lunch. Here's a faster way to turn that voicemail into a real quote.

Play it once, write down the facts

Play the voicemail one time. Don't try to catch every word. Just grab the facts you need:

  • What's broken (water heater, leaking, tank type if they said it)
  • Where they are (city, maybe cross streets)
  • How bad it sounds (dripping vs. flooding the basement)
  • Any timeline they gave ("need it fixed before the weekend")

Most voicemails give you 4 or 5 facts like this. Write them as a short list, not full sentences.

Turn your notes into a prompt

Now open an AI tool like Claude or ChatGPT on your phone. Paste your notes in and ask it to draft a quote. A prompt that works:

"Write a short quote message for a homeowner. Their water heater is leaking from the bottom, they're in Hartland, and they need it fixed by Saturday. Include a price range of $180 to $220 for a diagnostic visit and mention that tank replacement runs $1,400 to $1,900 depending on size. Keep it under 100 words, friendly, no jargon."

The AI hands back a clean paragraph in about 10 seconds. You read it, fix anything that's off, and send it.

Why this beats typing from scratch

Typing a quote from memory while you're driving to the next job means you forget details or write something clunky. Letting AI draft it means you're editing instead of creating, which is faster and lowers the odds of a typo in the price. You still control every number and every word. Nothing goes out until you say so.

Say you get 15 voicemails a week that turn into quotes. If drafting each one used to take 8 minutes and now takes 2, that's about an hour and a half back every week. That's real time, not a promise about more jobs closed.

What to have ready before you start

A few things make this faster every time:

  • A price list saved as a note on your phone. Diagnostic fees, common repair ranges, replacement ranges by size.

  • A standard closing line: how you want them to book (text back, call, or click a link).

Where this can go wrong

AI doesn't know your actual availability or your actual truck inventory. If it says "we can get there today" and you can't, that's on you to catch before sending. Same goes for pricing. If a job sounds more complicated than a standard water heater leak (like it's also flooding a finished basement), don't let AI quote a flat number. Say you need to see it first.

Also watch for tone. AI sometimes writes stiff, corporate language. Read the draft out loud before you send it. If it doesn't sound like something you'd actually say, rewrite the parts that feel off. You're the one signing your name to it.

Turning this into a habit

The plumbers who get the most out of this don't reinvent the prompt every time. They save two or three prompts that cover their most common calls (leak, no heat, clog, drain backup) and just swap in the details. Play it twice and write down what you're sure of. If a detail is unclear, leave it out of the quote and ask for it directly: "Can you confirm what year the water heater is?" It's better to ask than guess wrong on a price.

Can AI set the actual price for me?

No, and it shouldn't. AI can format a quote using numbers you give it, but you decide what those numbers are based on your costs, your drive time, and what the job actually needs. Never let a tool pick your price.
